Billing Specialist - Job Description

WHO WE NEED:
We’re currently looking for a Billing Specialist with at least 3 years of experience to join our high-performing Billing team and provide our customers with quality service. If you're a fit, the following things should sound like you: 

  • Experience with handling complex billing questions on the phone and over email
  • Strong attention to detail - Working in multiple systems to accurately bill renewals and update customer information (Salesforce and NetSuite experience, while not required, is a plus)
  • Ability to work on a team with shared responsibilities
  • Problem solver with the ability to research and ask questions
  • Customer Service mentality

ROLE RESPONSIBILITIES:

External/Internal customer billing inquiries

  • Receive calls and emails from customers as well as requests from Support, Sales, and Customer Success
  • Respond in a timely and professional manner to all customers is necessary to provide the best customer experience and top-notch customer service 
  • Address and solve customer billing questions and issues via email/phone call
  • Analyze and correct customer assets/subscriptions. 
  • Issue adjusted, corrected, and/or rebilled invoices and credit memos
  • Coordinate with Sales and Customer Success Team to solve billing issues

Contract Renewals

  • Review 100% of contract renewal opportunities/quotes for accuracy and send to customers via Docusign
  • Comparison of assets and subscriptions across 2 systems is an integral part of providing an accurate renewal to the customers
  • Review and send renewal quotes
  • Check for missing renewals and generate from Salesforce if needed
  • Generate renewal invoices
  • Contact customers to update contacts for undelivered contract renewal quotes

Monthly/Weekly Billing

  • Provide timely and accurate invoices to customers for mid-contract user/product additions/changes not generated through the sales department 
  • Generate invoices for customers on non-standard billing frequencies 
  • Generate Cloud invoices for add-on products/users
  • Generate add-on user billings for SaaS
  • Create invoices for customers with monthly GPS/SaaS billing
