 EVENT COORDINATOR - Job Description

WHO WE NEED: 
We are looking for an experienced Event Coordinator to plan, organize, and coordinate all aspects of customer-focused HCSS events. The successful candidate will serve as the primary point of contact for attendees, addressing inquiries, providing information, and ensuring a positive event experience. 

They will work collaboratively with internal teams to ensure event objectives align with Education Services goals. The Event Coordinator will also be responsible for documenting customer interactions and feedback for post-event analysis and improvement. 

Experienced in Marketing, Business, Hospitality, or a related field but not required. 

Proven experience in event coordination or customer service. 

Highly organized and able to manage resources, budgets, and on-site personnel.

Capacity to manage multiple projects simultaneously. 

Excellent verbal and written communication skills. 

Proficient in using event management software and CRM systems. 

Ability to work flexible hours, including nights and weekends when necessary. 

ROLE RESPONSIBILITIES: 

Event Planning and Coordination: 

Assist with all aspects of customer-focused events, including logistics, venue selection, vendor management, and resource management. 

Collaborate with internal teams to ensure that event objectives align with Education Services goals. 

Customer Interaction: 

Serve as the first point of contact for attendees, addressing inquiries, providing information, and ensuring a positive event experience. 

Proactively engage with customers during events to gather feedback and address concerns. 

Serve as the first point of contact for University program participants, administer licenses, address concerns, collaborate with internal teams to find solutions for their needs. 

Communication and Documentation: 

Communicate event details, logistics, and updates to attendees through various channels, including email, social media, and event websites. 

Document customer interactions and feedback for post-event analysis and improvement. 

Develop and update event graphics 

Problem Resolution: 

Address and resolve issues or concerns in real-time during events.

Collaborate with internal teams to find prompt and effective solutions for unexpected challenges. 

Identify problems with current processes and work with internal teams to make process improvements. 

Post-Event Analysis: 

Conduct post-event evaluations to gather insights on customer satisfaction and overall event success. 

Prepare reports summarizing key performance indicators and recommending improvements.
